Maintenance and Technical Support Department

Overview:

The Maintenance and Technical Support Department consists of 4 divisions that work in an integrated manner, in coordination with the rest of the Vice Deanship’s departments, to fulfill the tasks assigned to the department with the purpose of attaining the objectives of the Vice Deanship’s operational plan. It is also concerned with the management of technical affairs, including operations related to the maintenance, reconfiguration and update of personal computers and all their accessories. The Department coordinates with the client and follows up the pending procedures on his request or informs them with the result of the request to follow up and measure the customer's satisfaction. In addition to that, it determines the actual needs of the University, including devices, printers, scanners and other supplies. Moreover, it secures the work requirements for the department’s divisions, and it endeavors to constantly follow up the work and evaluate the performance of the divisions’ affiliates. It includes the following divisions:


Technical Affairs Division:

This division is assigned to perform the following tasks

  • Maintaining, re-configuring or updating the computers and all their accessories.
  •  Proposing the technical specifications to the new devises and their accessories, including printers and others needed by the university.
  • Assisting the client in installing new programs or accessories.
  • Installing computers and their hardware to the client.
  • Preparing periodic reports on the assets and issues related to the division, and sending them to the Department and the Vice Deanship.  

 

Communication Division and Services Office:

This division is assigned to perform the following tasks:

  • Receiving phone calls and complaints from users with regard to technical support, and transferring them to the competent department.
  • Providing remote assistance to the client in order to accomplish their tasks, as well as quick solutions to the problems that may be encountered.
  • Receiving the client in the event of attending personally and indentifying their problem immediately.
  • Coordinating with the client over following up the various procedures related to his request, or informing them with the result of the request to follow up and measure their satisfaction.
  • Coordinating to solve common issues between divisions of the Vice Deanship and Department.
  • Preparing periodic reports on the assets and issues related to the division, and sending them to the Department and the Vice Deanship.

Administrative Affairs and Technical Development Division

This division is assigned to perform the following tasks

 

  • Coordinating work between the different units of the division.
  • Developing the skills of members of different divisions with the latest technical developments in terms of technical support for users.
  • Proposing the controls and policies of the division and sending them to be approved and updated periodically.
  • Preparing training plans for trainers belong to UQU’s colleges, other universities’ colleges or training institutions.
  • Preparing a study for the university’s actual need of devises, printers and scanners.
  • Preparing periodic reports on the assets and issues related to the division, and sending them to the Department and the Vice Deanship. 

Supply Division

This division is assigned to perform the following tasks

  • Following up the supply, receipt and inventory of equipment with companies.
  • Sending periodic reports on the stock contents.
  • Conducting field visits to compare orders and discharge actual needs.
  • Receiving the e-transactions of orders from departments.
  • Sending the devices to Technical Affairs Division to be processed.
  • Preparing periodic reports on the assets and issues related to the division, and sending them to the Department and the Vice Deanship.
