The tasks of the Incoming Confidential Documents Unit in the Documents and Administrative Communication Center are as follows:

  • To register confidential transactions coming from:
    • Saudi Mail
    • Representatives of governmental authorities.
    • Representatives of the private sector.
    • Rasel System (subsidiary to Administrative Communications in the Ministry of Education).
  • To register financial transactions (invoices) coming from:
    • Saudi Mail
  •  To register medical reports coming from:
    • Saudi Mail
    • Representatives of governmental authorities.
    • Representatives of the private sector.
  • To register and circulate employees' transfer decisions.
  • To register and refer summoning and grievance transactions.
  • To preserve incoming and outgoing transactions in the paper archive.
  • To preserve summoning and grievance transactions.
  • To preserve employees' transfer decisions.
  • To adhere to the following registration standards:
    • All transactions are subject to preparation procedures, except confidential ones.
    • Adding the transaction topic comprehensibly without misspellings.
    • Adding a link to transactions, if available.
    • Adding the transaction owner, if available.
    • Choosing a suitable classification for transactions, invoices, and medical reports.
    • Ensuring the safe presentation of transactions and their order according to the transaction context.
    • Upon receiving a late or imminent transaction, it should be sent directly to the relevant authority without going through preparation procedures.
    • To assign box files for Emirate transactions.
    • To assign box files for summoning and grievance transactions.
    • To assign box files for spending from the center budget, as follows:
      • A file for newspaper subscription invoices.
      • A file for mail wages invoices.
      • A file for post box subscription.
      • A file for SMSA Express invoices.
      • A file for private expenses invoices.
      • A file for off-the-clock transactions.
      • A file for statements of receiving the repositories and printer.
    • Preparation of a weekly list of transaction topics.
  • Preparation of a list of new classifications suitable for transaction, invoices, and reports.
