Tasks and Powers of the Director of the Administration

  1. Helping the responsible officials at the administration under his management with all the administrative and organizational work at the departments under their management, according to the nature of the work of each department.
  2. Supervising the administrative employees, technicians, workers, those appointed according to the order of the wages as well as the contracted staff working at the administration under his management.
  3. Answering all the enquiries received by the administration under his management from the different UQU administrative units, without surpassing the authority delegated to him by the official responsible for the administrative unit.
  4. Supervising and following up on the implementation of the regulations, bylaws, and instructions related to the administrative and financial affairs, according to the nature of the administration work.
  5. Supervising, improving, and developing the workflow at the administration under his management, as well as presenting ideas and views for development, thereby helping the responsible officials in relation to the administrative process.
  6. Providing direct supervision and coordinating matters with the responsible official at the administration under his management in order to provide the services needed for the educational process. This is in addition to assisting the relevant authorities at Umm Al-Qura University in relation to following up on the maintenance and cleanliness of the classrooms and the places that provide public services at the administration buildings under his management, and following up matters with the responsible officials at different departments.
  7. Supervising the distribution of administrative offices at the administration, and coordinating matters related to the use of the symposia halls in a manner that ensures the best use of these halls. This should be done after referring the matter to the official responsible for these halls.
  8. Following up on the preparation of the classrooms and supervising their periodic maintenance, especially during the summer vacation and before the start of the academic year.
  9. Following up on the provision of all the facilities and requirements needed by the educational and administrative process at the administration, as well as coordinating matters with the different relevant authorities.
  10. Giving permission to supply different items from the warehouse of the administration under his management, after referring the matter to the official responsible for the administration.
  11. Communicating with officials of similar posts at the UQU executive administrations in a manner that achieves public interest and does not surpass the authority delegated to him by the official responsible for the administration under his management.
  12. Agreeing to grant regular and emergency leaves to the administration staff under his management, after their direct managers approve the leaves. This is in addition to coordinating matters related to the leaves according to the work requirements, granting initial approval for the different types of leaves, referring matters related to the leaves to the official responsible for the administration under his management, following up on the staff's recommencement of work after they return back from the leave, and coordinating matters with the relevant administrations.
  13. Submitting all the medical reports of the administration's personnel via the leaves program, after ensuring they are correct.
  14. Submitting a request to the responsible official at the administration under his management to investigate matters with his administration's staff in relation to the administrative and financial violations they may have committed.
  15. Participating in the preparation of annual reports at the administration under his management.
