Phase 1: Preparation, approval and declaration of the Activities Program:
At the beginning of every semester, the Scientific Activities and Community Service Committee distributes the Activities Proposals Form (including: type, name, date, place, target, lecturer’s name, etc. of the event) among staff members. The form is filled out with proposals for the various activities they will participate in during the semester.
The Committee then holds a meeting to study such proposals and develop the semester’s General Program of Scientific Activities and Community Service.
Following this, the draft General Program of Scientific Activities and Community Service is given to the Secretariat to be formatted and output as required.
Afterwards, the proposed program is presented to the Department Head for consultation, and is submitted subsequently to the Department Council for official approval.
Upon approval of the Activities Program, the full program of each event is set. In other words, a staff member who presents an activity is required to prepare a summary and presentation on the activity/event according to custom forms (Activities Form, Scientific Seminars Form, Scientific Courses Form, etc.), including the activity file of semesters.
At the end of this phase, the program is delivered to the Secretariat to be announced by date of each event via the Department’s website, and also to be sent to staff members by UQU email.
Phase 2: Implementation of activities, courses and seminars:
With the follow-up by the chairman and members of the Scientific Activities and Community Service Committee, and in advance of the event:
The event is announced by the Secretariat (including info of the type, name, date, place, target and lecturers’/participants’ names) via:
The Chairman of the Scientific Activities and Community Service Committee sends a reminder to the staff member presenting the activity one week before its date.
The staff member/speakers demonstrate a summary and presentation about the activity within one week from its date to the Chairman of the Committee.
In the morning of the activity, the committee members make sure that the seminar room (Room 212B) is ready in terms of the computer, projector and room cleanliness.
The event is then documented. It is filmed and presented on the Department’s website by Mr. Jamil Fawzi Jabr.
Phase 3: Implementation of community services:
All items mentioned in Phase1 (Preparation, approval and declaration of the Activities Program) and Phase2 (Implementation of activities, courses and seminars) are fulfilled.
At the beginning of the semester, the Deanship of the College is briefed with the community activity to be carried out. This is in order for the Deanship to make the necessary official correspondence with the community bodies benefiting from the activity (if necessary).
A week before the activity, the Chairman of the Scientific Activities and Community Service Committee communicates with the community bodies benefiting from the activity to remind them with and stress attendance.
Meanwhile, i.e. a week before the activity, the Secretariat addresses the Nutrition Department at the Deanship of Student Affairs to bring hospitality and beverages (if necessary).
The event is then documented. It is filmed and presented on the Department’s website by Mr. Jamil Fawzi Jabr.
Phase 4: Visiting scientific and research institutions and centers:
All items mentioned in Phase1 (Preparation, approval and declaration of the Activities Program) and Phase2 (Implementation of activities, courses and seminars) are fulfilled.
At the beginning of the semester, the Deanship of the College is briefed with the visits to be carried out. This is in order for the Deanship to make the necessary official correspondence with the entities to be visited (if necessary).
A week before the activity, the Secretariat addresses the Nutrition Department at the Deanship of Student Affairs to bring hospitality and beverages (if necessary). It also addresses the Transportation Department at the same Deanship to secure the means of transportation.
The event is then documented. It is filmed and presented on the Department’s website by the Secretariat.
