Academic Advisor Duties

Academic Advisor Duties:

  1. Being completely aware of the time schedule of course registration, postponement, and deletion dates that are announced by the Deanship of Postgraduate Studies; 
  2. knowing the college educational plan and the student's graduation requirements and making sure that the student's schedule is in agreement with the college educational plan; 
  3. preparing the academic advising record of every student, as the academic advisor produces a special file for every student which contains recorded subjects and the student's degrees in them, the grade point average, periodical meeting minutes between the academic advisor and the student, any reports or notice issued by the course teacher through which the student's level can be assessed; 
  4. meeting the student at the beginning of every semester with the aim of:
  • being aware of his/her performance in the previous semester; 
  • urging students to exert much effort in the coming semester; 
  • helping and guiding students in registering courses and finding solutions in case of conflict; 
  • following up student's study program and if the student is having problems, the academic advisor should search for the causes and try to solve them or inform the administration of the college; 
  • finding talented and outstanding students, encouraging them to participate in national and international conferences, and assisting them with the process; 
  • motivating students to participate in academic activities organized by the college or the university, especially those relating to postgraduate studies; 
  • dedicating office hours to meet students to discuss academic affairs and advise them; 
  • submitting a quarterly report about the student's performance to the Academic Advising Unit, which includes the student's academic performance; 
  • and submitting a report about the problems that the academic advisor faces during the advising process.

Student's Role and Responsibilities:

  • The student responsible for their own performance. The advisor's role is only to guide and help the student to overcome the difficulties and problems that may face them.
  • Reading the unified regulation for postgraduate studies and understanding the bylaws pertaining to postgraduate studies.
  • Being acquainted with the timetable of the Deanship of Postgraduate Studies and reading it each semester to know the dates of registration, postponement, and apology.
  • Being punctual when meeting the academic advisor who is designated to each student by the department, and giving them all the information they need.
  • Carrying out the academic advisor's recommendations according to the agreed-upon dates.
  • Informing the advisor about any changes that may affect the student's program or educational performance.
