Assessment Unit

Introduction:

Assessment unit has an integral role in monitoring the quality assurance activities of various learning assessments. This includes but not limited to exams and course activities. The unit also supports the accreditation requirement to provide fair assessment between students’ sections and to ensure the continuous improvement of teaching and learning throughout the academic year. Assessment unit demands accountability and sustainability from each department in the college of pharmacy, through systemic procedure that should be followed and documented.

This page contains the general guidelines and required forms for midterm and final exams. The specific dates will be sent via email to HODs as the dates may subject to change occasionally.

Required Documents for Midterm Exams (Submit to The Assessment Unit):

  • Midterm exam checklist.
  • Objective/subjective request form (if applicable).

Guidelines and Requirements for Midterm Exams:

  1. All exams should have the official cover page.
  2. The midterm exams will be reviewed internally in the department by reviewer appointed by the HODs.
  3. The midterm exams should include all sessions taught from the beginning of the semester till the week before the exams.
  4. Course coordinators should plan the questions based on exam blueprint.
  5. The midterm exams should include different ratios of subjective and objective questions.
  6. Upon coordinator request and the approval of the HOD, exams may include subjective or objective questions if a valid justification has been made in the official form.
  7. MCQs must follow SCHS guidelines.
  8. Reviewers should carefully examine the exam papers and make sure the items in the checklist form are followed.
  9. It is the responsibility of the reviewers to check if the exams follow the guidelines and the checklist before approval.
  10. Coordinators can make feasible changes based on the reviewers' comments. 
  11. No exams should be sent to the HODs for reviewing.
  12. HOD should co-sign all forms.
  13. HODs should submit electronic copies of the required documents to the assessment unit according to the deadline.

  • Objective/subjective request form (if applicable).

  • Marking review.
  • Grade distribution form.

  1. All exams should have the official cover page.
  2. The final exams will be reviewed internally in the department by reviewer appointed by the HODs.

  4. Course coordinators should plan the questions based on exam blueprint.
  5. The final exams should include both subjective and objective questions.

Course Blueprint:

  1. Coordinators are responsible of filling the form of course blueprints.
  2. Lecture learning outcomes (LLOs) must align with program learning outcomes (PLOs) and Course learning outcomes (CLOs).
  3. Activities should also follow the previous note and should be added to the form.
  4. The information in this form can be used to fill out the ILOs form by the end of the semester.

Grade Book:

  1. HODs should receive (from coordinators) detailed grades for students in both sections (male and female) using the grade book.
  2. The grade book is a requirement for the course portfolio.

Marking Review:

  1. HODs should appoint faculty members within the department to review 10 % randomly selected final exam papers for both sections (male and female). 
  2. All exam papers (for both sections) should be given to the reviewer to randomly select 10% of the papers. 
  3. Model answer sheets should be also given to the reviewer. 
  4. The reviewer should carefully review the papers and fill marking review form. 
  5. HODs should sign and approve the decision made by the reviewer. 
  6. HODs should take the appropriate action based on the reviewing decision. 
  7. Marking review should be first approved by HODs before submitting the grades on the academic portal to the students. 

Grade Distribution Form:

  1. Course coordinator is required to fill in the grade distribution forms (one form for female students, one for male students, and one combined form for both sections).
  2. Courses that show significant deviation in mark distribution (i.e. skewed grade distribution histogram (all students got A+ and A OR all students got C and C+), are required to submit both (A) a brief explanation of the reasons for that deviation in the grade distribution curve (B) a correction plan to avoid that deviation in the future.  
  3. Both forms are required to be submitted to the HODs not later than 2 weeks after the exam.
  4. HOD should co-sign all forms.
  5. HODs should submit electronic copies of the required documents to the assessment unit according to the deadline.
