System for Archiving and Managing of Paper Records in Administrative and Financial Affairs and Departments’ Secretariat

This system seeks to archive and manage the paper records that exist in the files of administrative and financial affairs and the departments’ secretariat. This is performed through inserting and processing them electronically, and then retrieving them opportunely with minimum cost and effort. The system also contributes to saving space in offices and storehouses, as well as accessing information that is correct, accurate, and updated just by pressing a button.
The archiving and managing of digital records covers both administrative and financial affairs and the secretariat, in accordance with the following mechanism: Gathering and processing paper files; dividing files into groups based on the nature of their subjects; scanning paper files and converting them into PDF digital format using the Capture Perfect software; storing a backup copy of the digital files; reviewing the files that have been converted electronically; returning the paper files to the main files; storing digital files on databases in PDF format.
