Umm Al-Qura University

Overview

- 2016/05/19

A mainstay of Umm Al-Qura University (UQU), the Deanship of Admission and Registration, since its inception, has been associated with the very existence of university education.

Throughout the past period, the registration process at UQU has passed through a number of stages, starting with the application of the credit-hour system to the departments of the College of Education in Makkah, then to the departments of the College of Shari'a and Islamic Studies at the beginning of the academic year 1395/1396H. At that time, there used to be a department to handle admission and registration.

Yet, as the department's role and scope of responsibility further expanded, it was restructured in 1396/1397H, and took the name: 'Deanship of Admission and Registration', for which a Dean and a Vice-Dean were appointed. The Deanship began to focus on using the statistical methodology to collect and analyze the students’ data.

Later on, it started to introduce computer-based and other modern technologies to improve and develop work procedures. As a result, the registration of male and female students was computerized in 1401H and 1405H respectively. Up till 1415H, course outlines, as well as student grades, used to be handwritten under the supervision of the academic advisors, and then entered into the host computer.

In 1415H, the following procedures have been carried out:

·Setting up the computer network of the Deanship of Admission and Registration and directly connecting it to the Computer Center via Fiber Optics; it is a network of personal computers connected to the  host in the Computer Center.

·Preparing programs related to activities of the Deanship of Admission and Registration on PCs, using MS Access (database management system). Such programs include the admission and registration programs for the regular students.

Updates made in 1418H:

·Developing the admission and registration system and installing it on the PCs of the regular students.

·Starting to install the computer-based registration program on the PCs of regular students.

Updates made in 1419H:

·Carrying on installing and updating the computer-based registration program on the PCs of the regular students.

·Installing new programs of admission tests on the PCs, and using scanners for correction of those tests.

·Embarking on installing new admission and registration programs on the host. Such programs covered admission, registration, results, graduation and academic affairs.

·Installing a new auto-archiving program, and testing it for implementation.

Updates made in 1420H:

·Developing all admission and registration programs on the host and putting them to work instead of the programs installed on PCs.

·Developing admission tests and linking them to the computer.

·Introducing the auto-archiving system at the Deanship of Admission and Registration.

·Linking most of the University’s academic departments to the admission and registration program on the host computer, so that departments could follow up their students through direct inquiries.

·Linking the UQU premises at Al-Zaher to the host computer to enable the employees of the Deanship of Admission and Registration to undertake the Deanship’s tasks, including admission, registration and academic affairs.

Updates made in 1422H:

·Mulling over the implementation of a new admission and registration system based on Oracle database, in coordination with the Computer and Information Technology Center.
