Duties of the Medium Activity Documents Unit:

  • Supervising the related departments and ensuring they receive and deliver documents from the departments and branches of the unit, according to the instructions regulating this matter.
  • Supervising the selection of subject headings for the indexed documents, according to the list of subject headings approved by the Documents and Administrative Communications Center.
  • Supervising the preparation of documents for electronic scanning, and transferring them to the Electronic Scanning Unit.
  • Supervising the organization and archiving of work papers and records.
  • Providing the Active Documents Department with ideas and proposals which emerge from practical applications, in relation to the evaluation process as well as the classification and coding guides.
  • Supervising the preparation and electronic scanning of documents, and transferring them to the Department of Permanently Archived Documents.
  • Participating in the committees concerned with document destruction and transfer.
  • Following up the revision and review of document indexation, scanning, cataloging, and classification.
  • Ensuring the data is true and adheres to the classification, coding and indexation rules.
  • Supplying the missing items and addressing negative feedback in coordination with the competent departments and units.
  • Determining the manpower, equipment and material needed by the unit.
  • Submitting periodic reports on the achievements of the department, providing appropriate proposals for improvement, and presenting them to the Administrative Affairs Unit at the center.
  • Any further tasks will be assigned according to the field of specialty.
